Organizational Membership FAQs

2024 Updates

  • Our member insurance expense is increasing nearly 50% in 2024 due to challenging market conditions for sports liability coverage, rowing-specific risk profiles, and evolving loss assumptions from historical claims. These challenges have also highlighted the need for all member organizations who don’t insure through USRowing to retain comprehensive coverage that protects against a variety of potential losses. 

  • Clubs that participate in our insurance program will pay between 25% and 63% more in 2024 depending on organization size and product type. Our pricing decisions balance the fixed costs to deliver comprehensive coverage regardless of club size and greater contributions from our larger clubs, while maintaining the decreasing cost-per-member model that clubs have come to expect as they grow their programs. 

     

  • Clubs that don’t participate in our insurance program will pay $100 more in 2024, with all proceeds contributing towards the Safeguarding initiatives that benefit our entire member base. Further, these organizations will have to meet additional liability coverage requirements, including proof of Sexual Abuse and Molestation (SAM) insurance or equivalent promise of self-insurance. 

     

  • Continuing value for organizational membership includes participation in sanctioned and hosted USRowing regattas, access to continually-expanding Safeguarding resources, and USRowing voting privileges. In 2024, we’re growing our membership value proposition with partners like CrewLAB and releasing various new modules and courses on The Launch. 

Organizational Account Access

  • New clubs can become a USRowing organization here. You’ll be asked for your RegattaCentral username and password, information for a primary contact, the best mailing address and physical program address, as well as additional profile information.  

    To access your account, go to USRowing.org, click ‘Member Portal’, and then ‘Organization Login’. From here, use your RegattaCentral username and password to sign in. If the system does not recognize your username, it’s likely you are not currently an admin on the account. Submit an inquiry here for help accessing the account.

  • Rosters should be managed by logging into your USRowing organizational account. You’ll see a roster button on the landing page. When managing the roster, you’ll be able to view member ID numbers, names, and compliance information such as SafeSport training, membership expiration, and agreement waiver status.  

  • To request a change in administrators, submit an inquiry here with the name of your club, RegattaCentral username, and the role you are seeking. You can also reach out to the current admin on the account if you know who they are and they can add you to the account by clicking the pencil icon on the organization admin landing page. 

  • To access your club’s organizational account, you’ll need to be granted a designated role on the account. If you know who the current admin is, ask them to add you to the account with the role best suiting your responsibilities at your club using your RegattaCentral username. 

    Adding role-based members to the account is accomplished by having a current admin log into the organization member portal, then once on the club’s landing page, the admin clicks the pencil icon located to the right of the club’s name. It will ask them to select a role for the person they’re trying to add and their RegattaCentral username. Once all fields are filled, click ‘Add’. Upon refreshing the page, they’ll see the new designated role listed on the landing page.   

    Log in here, using your RegattaCentral username and password. Once logged in, you’ll have different account accessibilities based on your designated role, such as the ability to manage and export your roster, view, and distribute your club code to individual members as a token to join your club’s roster, add and remove other admins, renew your membership, add additional insurance, and register regattas.  

  • To view your team’s roster, log into the organizational membership account using your RegattaCentral username and password. From there, click the ‘Roster’ button and view the members who are listed for your club. 

  • If your roster needs updating or is displaying athletes no longer with your program,, you can archive or delete members from your roster. Log into your account and click ‘Roster’. From there, for all the members you’d like to delete or archive off the roster, click the tick box to the left of their names and click ‘Archive Selected’ or ‘Delete Selected’.

  • If a member appears more than once on your roster, they have one or more duplicate accounts. To merge the accounts, select two duplicate accounts at a time by clicking the tick box to the left of their name and then clicking ‘Merge Selected'.

  • Members add themselves to your roster by distributing your Club Code to them. This is a five-digit code found on your organization landing page upon logging into your organization admin account. Have members who appear to be missing from your roster add themselves to it by logging into their individual member account, clicking ‘Join Organization’, typing your organization’s name in the prompt bar, then inputting the Club Code when prompted.  

  • If your roster size has grown and exceeded the number of covered individuals for your current membership, you must upgrade your roster tier for the remainder of the year with only having to pay the difference in cost from one tier to the next. You can also clean up your roster to see if any older members who are no longer involved with your club can be removed to help keep your roster size within the current tier.

Organizational Compliance

  • It is strongly recommended that you renew the organizational membership as soon as possible to avoid any lapse in benefits, especially if your organization participates in the USRowing Insurance Program. Insurance and membership lapse on December 31 of each year. Renewal beyond that date for the next season will not include retroactive occurence-based coverage for the period between expiration and renewal.

  • Organizational memberships are based on the calendar year and expire on December 31, regardless of what day you renew and whether you are purchasing the insurance coverage or not.  

    Teams that do not renew their membership on January 1, 2024 and use USRowing insurance are not covered during the time period of lapsed membership. USRowing insists all organizations renew their membership at the start of the year and don’t wait until racing to do so. Accidents can happen at any time and you will not be covered during practice if you don't renew immediately.

  • Yes! Our Regatta Pass has absorbed and simplified the pre-existing weekend pass, scholastic pass, and regatta pass. Regatta Passes are $250 that include general liability insurance coverage for up to 18 individuals during the time period of the regatta of your choosing. These passes were not previously self-service but are now! Upon completion of the purchase, please inform USRowing of which regatta you will be attending by submitting an inquiry here

  • We offer unique options delivering Plus membership for organizations of all types. 

    • Regatta Pass ($250): For alumni groups and non-traditional crews looking to race for a single weekend.   
    • Sub-Organization ($1,250): For organizations that operate independently while sharing facilities and equipment with another organization.  
    • Local Organizing Committee ($1,250): For regatta organizers not focused on regular rowing activities.  
  • Sub-organization is an organizational membership type option for teams that have a parent organization with a current membership and insurance coverage provided by USRowing’s insurance program. If the sub-organization would like to share the insurance coverage with their parent organization but compete as a separate team from their parent organization, the Sub-Organization membership type can be used to share the coverage already purchased. The combined number of athletes between the parent organization and all connected Sub-Organizations may never exceed the maximum roster limit of the coverage purchased by the parent organization. In addition, individual members of all programs are required to have USRowing individual memberships in order to be covered.  

  • USRowing is committed to creating a more accessible and affordable space for the rowing community. Our Open Doors membership is for rowing clubs whose primary purpose is to offer programs to communities historically excluded from our sport at low or no cost. Open Doors provides Plus membership at a 50% reduced cost annually. Register or login to your organizational account to apply once for 2024.

  • Duplicate accounts are created when emails, DOB, and names (nicknames, hyphenated last names, maiden names, mistyped names) are put into the system differently than what our system has on file. If Regatta Central’s system can’t find your information, the database creates another account. When adding athletes to your roster there are two great options to prevent duplicate accounts from happening. The first is to distribute your club code to your athletes. Have them log into their individual account and add themselves to your roster so that the correct account is being added. The second option is to use the athlete’s member ID number. This will ensure our system has found the right account and person to add to your roster. 

  • While organizational membership can be canceled at any time, a refund will only be issued within the first 30 days of purchase and assuming the crew has not used the membership to compete. Once a member organization has participated in a USRowing sanctioned regatta, they are no longer eligible for a refund regardless of the date of cancellation. All organizational memberships end on December 31 of each year.  

  • Organization admins can purchase memberships in bulk by logging into their organizational admin account, clicking ‘Roster’, then ‘Membership Registration’, selecting the membership type that you’d like to bulk purchase, and finally selecting all the individuals on your roster who you would like to bulk purchase memberships for. After every individual is selected, scroll to the bottom of the page and click ‘Pay’ to complete the transaction.  

    Something to note, when purchasing memberships in bulk, members will need to log into their individual accounts to electronically sign their agreement waiver and complete SafeSport training if applicable.  

    If a membership was purchased for someone who has previously never had a membership with USRowing, after purchasing their membership, distribute their member ID number to them. They will need to use it and their DOB to set their password.

  • Yes. Miscellaneous special events and activities that involve groups other than your members (or USRowing members) are included automatically with your membership subject to underwriting review. Please alert USRowing to any events you intend to host that may require specific insurance coverage, such as summer camps at organizations@usrowing.org.

  • The USRowing Insurance Program only provides coverage when competing in USRowing sanctioned events. International regattas are not commonly sanctioned with USRowing. Please do not assume your international rowing trip is covered by our program, although we may be able to assist. For questions, submit an inquiry here
